Terms of use

Version 1.1.0 · Effective 04/11/2026

About these terms

These are the terms and conditions on which we, OneBigOrder ("we", "us", "our"), provide our website, application and related services (together, the "service") to you, whether you are a visitor, a member of a group, a group organiser (a "Captain"), another permitted role or a listed supplier.

Please read these terms carefully before you start to use the service. By creating an account or using the service you confirm that you accept these terms and agree to comply with them.

Documents that apply to you. These terms refer to and include our Privacy notice, Cookie policy, Acceptable use policy and Prohibited items policy. If you organise a group, the Captain terms and the Group data processing terms also apply. If you pay for a platform plan, the Subscription terms also apply. If you list a business as a supplier, the Supplier terms also apply.

Words we use. A "group" is a community, such as a building, street, school, workplace, club or cooperative, whose members buy together. A "Captain" is the person who owns and runs a group. A "round" is an ordering window with a cut-off date. A "PO" is the purchase order a Captain sends to a supplier. A "household" is the person or family placing orders within a group.

Who can use the service

  • You must be at least 16 years old and able to form a binding contract with us.
  • You must give accurate information when you register and keep it up to date.
  • Each person holds one account. You may not share your account or allow anyone else to use it.
  • We may refuse to register, or suspend or close an account, if these terms are breached or if we reasonably need to protect the service, other users or the law.
  • Suppliers using the service as a business must be lawfully trading. Supplier use is also governed by the Supplier terms.

Your account

You are responsible for keeping your sign-in details confidential and for all activity carried out under your account. Tell us promptly if you think someone else is using your account, and tell us if any account details change.

Sign-in is by email and password, username and password, or Google, as offered in the service. You can protect your account with extra verification where offered.

Groups, roles and responsibilities

A group is created and owned by its Captain. A group can hold roles including Co-Captain, Treasurer, Hub Keeper, Member and Member-seller. One person can hold different roles in different groups.

Captains are responsible for:

  • running their group honestly and lawfully;
  • deciding who joins the group and removing members when needed;
  • choosing suppliers, placing purchase orders and uploading supplier invoices;
  • keeping the group's payment arrangements with its members clear, lawful and fair;
  • looking after the information of the group's members.

Members are responsible for:

  • placing accurate orders before the cut-off;
  • paying the group by the method and date the group sets;
  • collecting goods they have ordered.

Offline or invited members are recorded by the Captain team. A Captain may place an assisted order on behalf of a member, and the member is asked to confirm it.

Order rounds, purchase orders and deliveries

A round has a cut-off date set by the Captain. After the cut-off, baskets are locked and the Captain reviews the orders. The Captain then places one group purchase order with the supplier the group has chosen.

A sent purchase order cannot be edited. Changes go through reviewed adjustments, and both the group and the supplier see what changed.

Suppliers can respond to a purchase order through a secure link without needing an account: they can accept, decline, propose changes, dispatch and deliver.

Where a group uses quality checks, members can rate collected items and the group builds supplier scorecards. A supplier that repeatedly fails may be excluded from the network.

Invoices, payment recording and money

The platform never collects, holds, processes or splits group money. All payments between members, groups and suppliers happen outside the service, for example by bank transfer, cash or a payment link the group or supplier provides.

After delivery, a Captain uploads the supplier's invoice. The service splits the real cost across members and keeps a record of who has paid, who pays on delivery and who has not paid. These payment records are a shared record only.

We are not a bank, payment institution, escrow agent or seller of goods. We do not guarantee that any member will pay, that any supplier will deliver, or that any group will remain active. Records of late or missing payment stay private to the group.

Fees, plans and subscriptions

The Free plan allows up to 20 active members per group and up to 5 free groups per Captain. Paid plans are billed to the Captain's account through Stripe. Trial periods, renewals, cancellation, refunds and price changes are described in the Subscription terms. Payments made in a test environment never grant live access.

Fees a Captain sets for members of a group, such as joining fees, first-order fees or per-order fees, are arrangements between the group and its members. They are collected outside the service and are not platform revenue.

Suppliers and listings

A business can list on the supplier network with a paid listing plan. Listing prices are set per country. Listings include a free trial period and, on yearly billing, free months as described at sign-up. We charge no commission on a supplier's sales.

A supplier warrants that its listings, prices, stock and offers are accurate, lawful and kept current, and that it will fulfil purchase orders it accepts. We do not supply goods and are not a party to the contract between a group and a supplier.

Members rate products they collect and suppliers their group buys from. Where a group chooses to share a report, ratings and scorecards may be shown publicly.

Your content

You keep ownership of content you upload, such as product photos, invoices and messages. You give us a permission to store, process and display your content as needed to run the service, including re-encoding images and processing files for privacy and storage.

Content must follow the Acceptable use policy. We may remove content that breaks those rules or the law, and we may pass content to authorities where legally required.

Acceptable use

You must not misuse the service. That includes unlawful, infringing, harassing or fraudulent activity; collecting other people's data without permission; interfering with the service; and trying to access data or systems you are not entitled to. The full rules are in the Acceptable use policy, and the Prohibited items policy lists goods that must not be bought or sold through the service.

Ending your account or a group

You can delete your account at any time. Deletion is reversible for 30 days, after which we erase your personal data subject to our retention duties and to records that shared groups and audits must keep.

We may suspend or end access to the service for breach of these terms, risk to other users, or legal reasons, with notice where practicable. A group ends when its Captain ends it or when it no longer has members. Records a group needs, such as invoices and payment history, are preserved so the group can keep using them.

Availability and support

We aim to keep the service available and will tell you about planned maintenance, but we do not promise that the service will be uninterrupted or fault-free.

Intellectual property

We own the service, including its software, design, brand and content. You may not copy, modify or reverse engineer the service except as the law allows.

Disclaimers and limitation of liability

The service provides tools for community purchasing. It is not legal, financial or tax advice. Decisions about what to buy, from whom and on what payment terms are made by you, your group and your suppliers.

We are responsible to you for loss you suffer as a foreseeable result of breaking these terms or failing to use reasonable care and skill. We are not responsible for indirect or consequential loss, or for losses caused by events outside our reasonable control.

Subject to the paragraph above, our total liability to you for all claims arising in a 12-month period is limited to the greater of the fees you paid us in that period or 100 pounds. Nothing in these terms limits liability that cannot be limited by law.

Changes to these terms

We may change these terms. We give advance notice of changes through the service and by email where required, and the effective date and version are shown on the published document. If you keep using the service after the effective date you accept the changed terms. Where re-acceptance is required, we will ask for it before you continue.

Complaints, disputes and governing law

If you have a complaint, contact us first at support@onebigorder.com and we will try to resolve it.

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you live in Scotland or Northern Ireland you can bring proceedings in your local courts.
